RESOLVED: ERE & Tuition Remission Bug Affecting Proposals in ERA

ERE & tuition rates are now working properly in ERA. RAs are reminded that any proposals submitted on or after July 16, 2020 must use the 7/1/2020 effective date (which will apply the FY21 ERE rates).

Update, 8:38am 7/2/2020 – Issue Partially Resolved

The 7/19/2019 effect date is functioning properly, and will apply ERE and tuition remission based on FY20 rates.

The FY21 ERE rates have been pulled back out of ERA temporarily while the issue is fixed. The fix should be implemented tonight, and the FY21 rates will be available for use after that time.

For any proposals that had the 7/1/2020 effective date selected yesterday, the RA will need to either wait for the fix tonight, or may choose to select the old date (7/19/2019).

Original Post, 9:36am 7/1/2020:

A bug has been discovered in ERA after the most recent bulk import needed to load the new ERE rates. This bug is causing tuition rates to default to $0 when using the new rates (07/01/2020) and it is also causing ERE rates to default to 0% when using the old rates (07/19/2019). RAs are advised to review their proposal budgets prior to submission to determine if their proposal was affected.

Below we are including a list of the known issues caused by the bug, criteria for affected proposals and temporary workarounds.

Issue #1, if Your Proposal:

  • Includes GRAs
  • Uses the ERE & Tuition Rates Effective Date of 07/01/2020

Issue:  If your proposal includes Graduate Students and if you have selected the effective rate of 07/01/2020 on the F&A Determination SmartForm, ERA will populate the correct ERE rates; however, the tuition remission rate will display $0. You

Workaround:

  1. On the Personnel Costs Budget Grid, uncheck the “Automatic Tuition Remission” box:

2. Manually enter the tuition amount on the “T/R Per Person” box

Issue #2, if Your Proposal:

  • Was Created On or Before 06/30/2020
  • Uses the ERE & Tuition Rates Effective Date of 07/19/2019
  • Had New Personnel Lines Added to the Budget Grid On or After 07/01/2020

Issue:  If your proposal meets the criteria described above, the ERE rate for newly added personnel lines will display an ERE rate of 0%.

Workaround:

  1. On the Budget’s F&A Determination SmartForm, update Field 10.0 “ERE and Tuition Remission Rates Effective Date” to 07/01/2020

  • If personnel budget will include GRAs, you will need to manually enter the tuition remission following guidance under Issue #1 above.

Other Important Information

Please note that your proposal will not be impacted if it meets the criteria below:

  • Was Created On or Before 06/30/2020
  • Uses the ERE & Tuition Rates Effective Date of 07/19/2019
  • Will Not Have Any New Personnel Lines Added to the Budget Grid On or After 07/01/2020
